Privacy Policy

Effective September 10, 2026. These pages are templates for compliance readiness. They are not legal advice. Fill the contact placeholders in src/lib/legal.ts before relying on them in production.

This Privacy Policy explains how Phoenix Game Room collects, uses, and shares information through Phoenix Game Room Player Portal. It should be read with our Terms and SMS Policy.

Information we collect

• Account data: name, email, optional phone, password hash, player card number, date of birth, home address (street, city, US state, ZIP), and timestamps for Terms, SMS, marketing consent, and age verification.
• Play activity: credit balance, ledger entries (loads, adjustments, payouts), desk buy requests, and WooCommerce order IDs used to credit a purchase once.
• Checkout: when you buy credits online, WooCommerce / WordPress and its payment processor collect payment details. This Player Portal app does not store card numbers.
• Technical data: session cookies (pgr_player for players, pgr_session for staff), a “do not sell/share” preference cookie, and basic server logs.
• Support: optional player-help chat messages you type on the public site.

How we use information

• Create and secure your player card and sessions
• Load credits after checkout or a desk payment
• Show balances and history in My account and Admin
• Send transactional email (for example receipts) if configured
• Send SMS or promotional messages only when you have opted in for that type
• Honor California “do not sell/share” requests
• Detect fraud, debug the service, and meet legal duties

When we share information

We do not sell your personal information for money. We also do not share mobile numbers with third parties for their own marketing. Categories of sharing we may use:

• Service providers: hosting, database, WooCommerce / WordPress checkout, payment processing, and email delivery (Resend, when enabled).
• Staff operations: Admin staff see player records needed to load credits and help at the counter.
• Legal: if required by law, to protect rights and safety, or in a business transfer.

Cookies and sessions

Signed-in players and staff need session cookies for the site to work. You can block cookies in your browser; then sign-in and checkout return flows will not work. Preference cookies (such as do-not-sell) remember a choice you made on this device.

Retention

We keep account, ledger, and consent records as long as the player card is active and for a reasonable period afterward for accounting, dispute, and SMS/TCPA record-keeping (often at least three years for consent logs). Ask us if you want a deletion review — we may retain limited records where the law requires it (for example completed purchases).

Your rights

Depending on where you live, you may request access, correction, deletion, or a copy of your information, and you may appeal a denial. California residents can use Do Not Sell or Share My Personal Information. Email support@phoenixgameroom.com to make a request. We will need enough detail to find your player card.

Children

The player portal is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe we have, contact support@phoenixgameroom.com and we will delete it.

International visitors

We operate in the United States. If you use the site from elsewhere, your information is processed in the U.S.
